About the role:

We are seeking a highly skilled Senior Executive Assistant to support our Chief Legal Officer in a fast-paced, mission-driven environment. This role will serve as a strategic partner, trusted gatekeeper, and logistical anchor ensuring our senior leadership is equipped to focus on the highest-impact priorities.

The ideal candidate is proactive, exceptionally organized, and thrives in ambiguity. They are skilled at managing complex calendars, sensitive communications, and cross-functional coordination, while anticipating needs before they arise. This is a high-visibility role that requires discretion, strong judgment, and an unwavering attention to detail.

Responsibilities:

Executive Support & Calendar Management

  • Manage complex calendars, scheduling, and prioritization for senior executives, often across multiple time zones.
  • Coordinate internal and external meetings, including agendas, prep materials, and follow-ups.
  • Serve as a trusted point of contact for internal and external stakeholders.

Travel & Logistics

  • Plan and manage end-to-end travel arrangements, including flights, accommodations, itineraries, and expense reporting.
  • Ensure executives are prepared with necessary materials and briefings.

Meeting & Communication Support

  • Prepare materials for leadership meetings, board decks, and investor communications.
  • Attend meetings as needed to capture notes, follow-ups, and action items.
  • Handle confidential and time-sensitive information with professionalism.

Operational & Strategic Coordination

  • Act as an extension of the executive in day-to-day operations, communications, and decision-making.
  • Track key initiatives and ensure follow-through by coordinating across teams.
  • Build strong relationships across the organization to enable effective flow of information.

Administrative Operations

  • Process expense reports, manage vendor relationships, and support office coordination tasks.
  • Build and refine processes for executive support, travel, calendaring, and internal communication.
  • Support special projects and event planning on behalf of the executive team.

Experience:

  • 3 - 5 years of executive assistant experience supporting C-level or VP-level leaders; prior experience in a startup, high-growth company, or regulated industry preferred.
  • Exceptional written and verbal communication skills.
  • Strong experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, Zoom, Slack, etc.).
  • Proven ability to manage competing priorities in a high-pressure environment; experience supporting multiple executives preferred.
  • High emotional intelligence and strong relationship-building skills.
  • Experience handling confidential information with discretion.

Estimated Starting Salary Range:

The estimated starting salary range for this role is $69,000 - $83,000 annually less applicable withholdings and deductions, paid on a semi-monthly basis. The actual salary offered may vary based on relevant factors as determined in the Company’s discretion, which may include experience, qualifications, tenure, skill set, availability of qualified candidates, geographic location, certifications held, and other criteria deemed pertinent to the particular role.
