Position Summary
We are in search of a well-organized and highly motivated individual to support our Chief Scientific Officer. The Executive Assistant will play a crucial role in coordinating and managing all projects associated with the diverse operations of the Science Division at Oath. The position involves diverse responsibilities such as scheduling meetings, maintaining records, and project management. This role provides an opportunity to engage in a stimulating array of tasks including logistics, event coordination, contract management, calendar optimization, and global travel planning, while ensuring effective communication across various departments. We are seeking a creative problem-solver who excels in a fast-paced, results-oriented startup environment. The ideal candidate should have the ability to handle multiple projects, and individuals with knowledge of microbiology will receive priority consideration.
Key Responsibilities
- Admin Support: Support all operations of the Chief Science Officer (CSO) and all other teams reporting to and collaborating with the CSO office
- Calendar Management: Effectively synchronize the CSO's schedule, aligning team members and internal and external stakeholders; assist the CSO and scientific team with scheduling and task assignments
- Executive Support: Create and share daily briefings with the CSO containing relevant details for the following day, such as email chains, agendas, and supporting materials; strategically plan and execute intricate domestic and international travel arrangements
- Cross-Departmental Collaboration: Engage closely with fellow EAs to uphold efficient cross-operational practices and facilitate knowledge sharing; coordinate with all project stakeholders and staff to ensure adherence to timelines and budgets, maintaining accurate records of all departmental activities and projects, and upholding the utmost discretion in handling all business information
- Efficiency Optimization: Focus on enhancing and refining administrative operational processes, with a specific emphasis on task automation for heightened productivity
Additional Responsibilities
- Ensure meticulous management of all travel arrangements for the CSO and submit expenses to Finance; monitor and maintain budget worksheets
- Actively engage in internal and external meetings to consistently advance the CSO's objectives; attend, document, and follow up on all project planning meetings
- Proactively assist in coordinating Scientific Advisory Board meetings and events.
- Serve as an unwavering liaison for all external conferences, boards, and consultations on behalf of the CSO
- Collaborate closely with the Marketing, Executive, and R&D teams on all CSO-related matters, assuming responsibility for drafting and disseminating communications
- Demonstrate proactive initiative in preparing project plans at the CSO’s direction using tools such as Microsoft Office and Asana
Qualifications
- Applicants should have experience in a similar role in biotech and extensive experience in business management
- Demonstrated experience is required, specifically in providing support to senior executives within start-ups in the biotech sector
- Essential proficiencies encompass exceptional time management and organizational skills, effective communication and collaboration abilities, high emotional intelligence
- Proficiency in Microsoft Office, Asana and other time management/organizational tools
- Familiarity with Benchling is a plus
Hours
This is a full-time salaried position with a flexible schedule that may require work in the evenings and on weekends.
Job Type: Full-time
Pay: $100,000.00 - $115,000.00 per year
