Role Summary


The Service Parts Coordinator is responsible for ensuring that all service-related Parts Requests (PRs) are processed, picked, and shipped within 24 hours to support rapid field service response. The role owns the operational flow of service parts from request through shipment and delivery confirmation, while maintaining optimized inventory levels across HQ, Field Service Locations (FSLs), and third-party service partners.
By actively managing inventory visibility, consumption trends, and logistics coordination, this role ensures parts availability does not delay service response times.


Key Responsibilities

Parts Request (PR) Execution

  • Own the end-to-end processing of all Service PRs
  • Ensure all PRs are picked, packed, and shipped within 24 hours
  • Coordinate directly with shipping/logistics to prioritize service-critical orders
  • Track shipment status and confirm delivery to field technicians or service partners

Service Parts Logistics

  • Ensure required parts are positioned to support the fastest possible onsite service response
  • Coordinate parts shipments to field technicians, service partners, and customer locations
  • Maintain clear communication with Service Operations and Dispatch teams on parts availability

Inventory Management

  • Monitor and manage service parts inventory levels across HQ, FSL locations, and partner inventory
  • Works directly with Service leadership to set and optimize levels based on SLAs
  • Run monthly parts consumption and usage reports
  • Recommend optimal stocking levels based on historical consumption and service demand
  • Proactively identify parts shortages and initiate replenishment orders
  • Manages inventory cycle counts at HQ, FSL locations and partner inventory sites

Field Service Inventory (FSL) Management

  • Ensure Field Service Locations maintain appropriate parts levels
  • Coordinate inventory transfers and replenishment across locations
  • Verify part deliveries and ensure field inventory accuracy

Systems & Data Management

  • Maintain accurate inventory and shipment records in Salesforce and Epicor
  • Ensure all PR transactions and shipments are properly logged and traceable
  • Support data integrity between service operations and inventory systems

Continuous Improvement

  • Identify opportunities to improve parts availability and shipping efficiency
  • Support initiatives to reduce service delays caused by parts shortages
  • Work with Service Leadership to continuously optimize inventory strategy
